Immediate Hire - Administrative Assistant – Admissions & Development

Hebrew Academy seeks a dynamic, detail-oriented Administrative Assistant to support our Admissions and Development teams. This role is essential in helping us provide outstanding experiences for prospective families and donors while ensuring smooth day-to-day operations. The ideal candidate is proactive, highly organized, and excited to be part of a mission-driven educational environment.
Key Responsibilities
Admissions Support
Serve as the first point of contact for prospective families via phone, email, and in person
Manage admissions correspondence and applicant files
Schedule tours, interviews, and related meetings
Prepare application materials, reports, and event logistics
Assist with open houses and other recruitment events
Development Support
Support donor communication efforts including thank-you letters and mailing projects
Maintain and update donor database records
Assist with scheduling, planning, and executing fundraising events and campaigns
Track and organize RSVPs, guest lists, and donation acknowledgments
Provide general administrative support to the Development Office
General Office Support
Perform clerical tasks including data entry, filing, and document preparation
Order and maintain office supplies
Collaborate with other departments as needed
Qualifications
Associate or bachelor’s degree preferred
Prior administrative experience; experience in school or nonprofit settings a plus
Strong communication and organizational skills
Proficiency with Microsoft Office; Veracross or CRM software experience a plus
Discretion in handling confidential information
Professional, warm, and customer-service oriented
Work Schedule & Requirements
Full-time, on-site position
Occasional evening or Sunday availability required for special events
